Migrating from Zoho CRM to SalesOS

Export Your Data from Zoho CRM

Data Export Process

  1. 1.

    Click the Setup icon (gear) in the top right

  2. 2.

    Go to Data Administration → Export

  3. 3.

    Select the module to export:

    • Leads
    • Contacts
    • Accounts
    • Deals
  4. 4.

    Choose export format:

    • CSV format (recommended)
    • Or XLS format (convert to CSV later)
  5. 5.

    Select "All fields" to include custom fields

  6. 6.

    Choose records to export:

    • All records
    • Or apply filters for specific date ranges/criteria
  7. 7.

    Click "Export"

    Zoho will send you an email with a download link when the export is ready

Pro Tip

Zoho offers multiple export formats (CSV, XLS, ICS). Choose CSV for best compatibility. Export Accounts first to maintain relationship data with Contacts and Deals.

Prepare Your CSV Files

Zoho exports are similar to Salesforce but with some field naming variations. Here's what to expect:

Leads.csv

Contains: First Name, Last Name, Email, Phone, Company, Lead Status, Lead Source, etc.

Note: Similar to Salesforce structure with some field name variations

Contacts.csv

Contains: First Name, Last Name, Email, Account Name, Title, Department, Mobile, etc.

Accounts.csv

Contains: Account Name, Industry, Website, Phone, Billing Street, Billing City, etc.

Note: Uses "Account Name" instead of just "Name"

Deals.csv

Contains: Deal Name, Stage, Amount, Closing Date, Account Name, Probability, etc.

Note: Uses "Stage" instead of "StageName"

Import to SalesOS

  1. 1.

    Go to Settings → Migration in SalesOS

  2. 2.

    Select "Zoho CRM" as your source CRM

  3. 3.

    Choose the entity type (Leads, Contacts, Accounts, or Deals)

  4. 4.

    Upload your CSV file

  5. 5.

    Review the AI-suggested field mappings (typically 95%+ accurate for Zoho)

  6. 6.

    Click "Start Import" and wait for completion

Common Issues & Solutions

"Field names don't match exactly"

Zoho uses slightly different field names than Salesforce (e.g., "Account Name" vs "Name").

Solution: The AI mapping will handle most variations automatically. Review the field mapping preview before importing.

"Account relationships aren't preserved"

Import Accounts first, then Contacts and Deals.

Recommended order: 1. Accounts → 2. Contacts → 3. Leads → 4. Deals

"Date formats not recognized"

Zoho may export dates in different formats depending on your locale settings.

Solution: Ensure dates are in MM/DD/YYYY or YYYY-MM-DD format. You may need to reformat date columns in Excel before importing.

"Custom modules not importing"

Zoho allows custom modules which may not map directly to SalesOS entities.

Solution: Export custom module data and contact migration support to help map it to the appropriate SalesOS entity type.
